Create a new product

StockAgile allows us to register products or services, which will be used throughout the system to manage your stock, make purchases or sales or synchronise with the ecommerce.

In this section we will only see how to create a single product, but there is also the option to mass import a set of products from an excel file.

Requirements to be able to create a product:

  • The user must have the role of OWNER, STORE MANAGER, WAREHOUSE MANAGER or PRODUCT EDITOR. You can see the different types of role in the section Creating or editing a user.
  • You must have registered the brand from BRANDS. If you do not have a brand, you can create one called "No Brand". You can follow the steps to create a brand in the section Create and edit brands.
  • You must have registered the brand from SEASONS. If you do not have a brand, you can create one called "No Season" or the same year in which you have the product for the first time, for example "2021". We can follow the steps to create a season in the section Create and edit seasons.
  • You must have created the category from CATEGORIES, if you do not have a category, you can create one called "No Category". You can follow the steps to create a category in the section Create and edit categories and subcategories.
  • You have created variants (such as sizes, colours, tastes, or other possible variants of your products) from VARIANT CATEGORIES, in case you don't have variants a colour called "Unique Colour" and a size/size called "Unique Size/Size". You can follow the steps to create different colour palettes, sizes, etc. in the section Create and edit variants such as sizes, colours or tastes.

Steps to create a product in a quick way (see below how to do it with the advanced form):

  1. To create a new product we must go to the PRODUCTS section from the side menu, located in the Inventory section.
  2. From the list of products click on the top right button that says NEW PRODUCT.
  3. We fill in the following data in the popup.
    1. Code: Product identification code, unique in the system.
    2. Name: The name of the product.
    3. Category: Product category.
    4. Subcategory: Subcategory of the product.
    5. Season: Season of the product.
    6. Brand: Product brand.
    7. DDP price: Final cost price of the product, after customs and shipping.
    8. Variants: Mark whether the product has variants, and if so, mark the colour palette and colours, and the size palette and sizes.
  4. Click on the save button, after a few seconds you will see a notification that the product has been created. If we want to see it or continue editing (to modify prices, photos, etc.) we can click on the link GO TO DETAILS in the same notification or search for the product in the list of products.

Step 3: Product creation popup

Steps to create a product in an advanced way:

  1. To create a new product in an advanced way by editing all the fields, we must go to the PRODUCTS section from the side menu, located in the Inventory section.
  2. From the list of products click on the top right button that says NEW PRODUCT.
  3. Once the popup is open, on the bottom left hand side we can see the button for YOU CAN ALSO USE THE ADVANCED CREATOR.
  4. In this screen we must fill in the product data, the fields with * are mandatory. Below you can find a table with the description of each field.
  5. Once you have entered the fields you need, click on the NEXT button located at the bottom (you cannot click until you have filled in the required fields) to go on to configure the prices.
  6. At this point we will enter the different selling prices. We can have different prices such as the wholesale price, the shop price, the ecommerce price (if the prices are different to the shop because it is in another country), the outlet price, etc. For each rate we will select:
    1. The product tax.
    2. We will put either the price WITHOUT the tax or WITH the tax and immediately the other will be calculated automatically.
    3. In case of promotion, we can write the PERCENTAGE discount, the discount price WITHOUT tax or the discount price WITH tax, just write one and the rest will be autocompleted.
  7. Once the prices have been entered, click on the NEXT button at the bottom to configure the product variants.
  8. At this point we have to select the variants of the product. Given the same product, we can have different variants of colour, size, smell, taste, size, power, memory, etc. The system allows you to choose two, one related to the senses (colour, smell, etc.) and the other related to size (size, measurements, etc.), so we will select each of the two palettes and select the different options for each of them.
  9. Finally we click on the FINISH button and a last popup will appear asking us if we want to generate barcodes. We will choose YES or NO depending on each case (whatever we choose, once the product is created we have the option to change it).

Product identifier and unique code in the system.

Autogenerate code

When checked, the Code field is generated based on the name, brand, season and category. In case the resulting code already exists, StockAgile indicates this and adds a number to the end of the code.

Source code

Product code given to us by the supplier.

Group code

Code that different products have in common that will be used to group them together. For example, if we have a product in several colours but we want them to be different references (ABC0-01, ABC0-02, ABC0-03), the part of the reference that they have in common will be the group code (ABC0).

Product measurements required in case of goods exported outside the continent.

Weight (Kg)

Product measurements required in case of goods exported outside the continent.

Unit of weight

Product measurements required in case of goods exported outside the continent.

Supplier Price (FOB)

The FOB price is the value of the goods placed at the port of shipment including the cost of packaging, labelling, customs charges (documents, permits, requirements, etc.).

Currency Supplier

Currency in which the supplier trades when marking the FOB price.

Initial cost price (ICP)

Delivery duty pay pay price. Price of the product including transport and customs. In other words, it is the final cost price of the product once we have it at the door of our warehouse.

Current cost price

Just like the initial price at the start, it will allow us to devalue the cost of our stock if the product loses value. If for example we bought shirts at an initial DDP of €100, after two seasons the value could have devalued to €60. We will use this field to calculate the value of the warehouse stock.

Harmonised Code

Tariff classification, used to create Commercial Invoices (Commercial Invoice) for customs.

Tags

Tags that we can add for the product, which will be useful for searching.
